Quotes live under Clients & sales → Quotes. A quote is a priced proposal with line items, a date it stays valid until and your terms. When the client says yes, it becomes an invoice with the same client and lines, so nothing is typed twice.

Write a quote

  1. Select New quote.
  2. Pick a saved client, or type the name, email and address. Saved clients come from Clients & sales → Clients.
  3. Add a title, then the line items: a description, a quantity and a price for each. The amount and the totals update as you type. Leave a quantity empty and it counts as one.
  4. Add a discount (an amount, taken off before tax) and a tax rate if you charge one.
  5. Check the Valid until date and the notes. New quotes start with your standard terms.
  6. Select Create quote. It is saved as a draft with the next number, such as Q-0004.

If the quote is for a deal in your sales pipeline, choose it under Pipeline deal. Accepting the quote then marks the deal won, and declining it marks the deal lost.

Send it and record the answer

Open the quote and use Copy as text to paste it into an email, or Print or save as PDF to attach a file. Then select Mark as sent. When the client replies, select Accepted or Declined.

A sent quote that passes its valid-until date shows as Expired. Quotes that expire within three days, or already have, appear on your Overview so you can follow up in time.

Turn it into an invoice

On an accepted quote, select Convert to invoice. The invoice gets the same client, currency, tax rate and lines, with any discount as its own line, and is due in 14 days.

  • Pro — the invoice is saved and numbered in Invoicing, and the quote links to it.
  • Free — the invoice opens as a preview to print or save as a PDF. It is not stored, so keep the file.

Duplicate, edit or delete

Duplicate copies a quote into a new draft with today's date, which is useful for a revised offer. Edit changes any field and keeps the number. Delete removes the quote for good.

Set your defaults

At the bottom of the quotes list, open Defaults for quotes and time to set your currency, how many days quotes stay valid, your standard terms and your hourly rate.
