Worth knowing

Getting paid without the awkwardness.

  1. 01

Chase early, and on a schedule

The longer an invoice sits, the less likely it is to be paid at all. Reminders that arrive on predictable dates — before due, just after, at two weeks, at 30 days — get paid far more reliably than one angry email after two months.

  2. 02

    Make paying the easiest option

Put the amount, the invoice number and your payment details in every reminder. If the person reading has to dig out the original invoice to pay it, they will put it off.

  3. 03

Pick up the phone at two weeks

An email can be ignored; a short, friendly call to the accounts team rarely is. Most late payment is disorganisation, and a call finds out what is actually holding it up.

Questions

About this tool.

Send a friendly heads-up a few days before the due date, a polite reminder the day after it passes, a firm one at two weeks and a final notice at 30 days. "Pick for me" chooses the right one from the due date.
Assume it was missed rather than refused, state exactly what is owed and when it was due, make paying easy by including your payment details, and ask a simple question: when will it be paid? The overdue email here does exactly that.
The amount, the original due date, how late it now is, a clear deadline to pay (seven days is usual), and what happens if it is not paid. Keep it factual and calm: a final notice is a paper trail as much as a request.
In many places, yes: the UK has statutory late-payment interest for business-to-business debts, and elsewhere you can charge interest if your terms said so before the work started. Add your terms in the optional field and they appear in the firm and final emails. Check the rules where you and your client are based.
No. The email is written in your browser and nothing is uploaded. "Open in email app" hands the text to your own email program, so it is sent from your address, which clients are most likely to read and answer.
